Cancellation and Rescheduling

I value your time and mine. If you need to cancel or reschedule, please provide at least 48 hours' notice.

Cancellations with less than 48 hours' notice will be subject to a fee of 50% of the treatment price.

The "Life Happens" Exception: If you need to cancel within the 48 hour window, the fee will be waived, provided you reschedule the appointment for a new date within the next 14 days at the time of cancellation.

No-shows will be charged the full price of the missed appointment/will not be refunded.

Late arrivals

If you arrive late, your session may be shortened to ensure the next client isn't kept waiting. The full treatment price will still apply.

Health and Safety

Your wellbeing is the priority.

Please disclose any medical conditions, allergies, or injuries during your initial consultation or at the time of booking.

If you are feeling unwell (fever, cough, etc.), please reschedule. I reserve the right to refuse treatment if a condition is contraindicated (unsafe) for massage.

Professional Conduct

This is a professional therapeutic environment. Any inappropriate remarks, gestures, or behavior will result in the immediate termination of the session, and the full fee will be charged.

Payments

Payments are due at the time of booking. I accept [Cash/Card/Bank Transfer]. If you wish to pay with cash let me know and I’ll send you a different link.

Privacy

Your personal and medical information is kept strictly confidential and stored securely in accordance with data protection laws.

Privacy Policy

This policy explains how I collect, use, and protect your personal information.

  • When you book an appointment or visit, I collect personal information such as your name, contact details, medical history, and treatment notes either in person or online via the Jotform platform. This is necessary to provide you with safe and effective massage therapy.

  • I collect your information in the following ways:

    • Online: Via an online form using Jotform.

    • In-Person: Through paper forms if necessary.

  • I take the security of your information seriously:

    • Paper Forms: All paper records are stored in a locked filing cabinet at my address.

    • Digital Information: All digital data is stored on a password-protected desktop. Digital forms from Jotform are imported into a client database on Fresha. Details are stored on my booking platform Fresha in order for them to determine which bookings are returning clients and which clients they have found. I ensure both platforms are password-protected.

  • I use your information to:

    • Provide you with professional and safe massage therapy.

    • Contact you regarding your appointments.

    • Request feedback on my services.

    • Send you marketing information, but only if you have given your explicit consent by ticking the consent box.

    • Keep a client database on my private account on Fresha to recognise which clients are new clients and which are existing as I pay a fee on new client bookings via Fresha

  • I will never share your personal information with third parties without your explicit consent, unless required to do so by law.

  • You have the right to access, correct, or request the deletion of your personal information. To do so, please contact me at somaflow.holistic.therapy@gmail.com

  • You have the right to consent to receive marketing information. If you have opted-in, you can opt-out at any time by contacting me directly.

  • This policy may be updated from time to time. The latest version will always be available on my  website.
